More Online GAIL Classes!

The Client Services team has been very busy creating video courses for most GAIL class types and those are available now in the PEP portal (once requested and assigned). Please join me in congratulating Mason and David for all their hard work and dedication!

You can register for any of these courses from the GAIL Resources site under the Training menu.

  • GAIL 101 All Users - Video Course *
  • Events Management - Video Course
  • Direct Marketing Efforts - Video Course

In-person classes will continue to be an option for anyone that prefers that method of learning. Those classes are also available on the GAIL Resources site - Training menu.

* The three courses above with an asterisk indicate classes that student workers, grad assistants, interns and temporary staff are eligible to take. Please see this chart for more information.

Training Reminder for All GAIL Users

Annual Giving Analytics in GAIL

The Annual Giving Analytics page in GAIL will not be updated for FY25. You should be able to calculate percent change and year-over-year growth from the Annual Giving Dashboard. Advancement IT has made many enhancements and updates to the Annual Giving dashboard over the past year, making it a much more robust tool than the Annual Giving Analytics page. The page will remain in GAIL; however, it will not update.

If you have any questions, please reach out to Sherry Abrams.

AskIT Ticket Request Cut Off

In order to manage the tickets we currently have and work on any new ones that are needed before the holiday break, we are setting a deadline of Friday, December 13th for sending in your tickets. That will be the last day that AskIT can accept tickets that will be completed before the holiday break. You can still submit tickets after that date, however, those tickets will not be completed until we return after the holiday break in January. Please be mindful of the data you need to have now versus what can wait until January. Your understanding and cooperation are most appreciated.

UGA Offices will be closed from December 25, 2024 through January 1, 2025.

Invitations Can be Processed Once

Event Coordinators, Beware!

You should be careful when creating and processing event invitations/communications to ensure your results will include your intended audience. When you create your communication, you may add multiple selections into one invitation, depending on the audiences you want to include, and then click the first Send button once. If you need to make any changes to that invitation and have already initiated the first 'Send' action, reach out to Client Services for assistance. If you have already sent the email communication then best practice is to create a new invitation and we can help you with that task, as well.

Updated Events Flowchart

As a general point of reference, we are happy to share an updated flowchart to outline the various steps in setting up and processing your event through GAIL. Will your event be supported by UGA Foundation funds or UGA proper? Never fear, we have resources for both!

Scholarship Privacy

To maintain compliance with privacy laws, specifically the Family Educational Rights and Privacy Act and the Higher Education Act, all scholarship recipients have had their identifying scholarship name removed from GAIL under the Education tab. In addition, the recipient names have been removed from the scholarship fund record.

Although GAIL has never recorded the current student recipient information, we know that many of you use the removed info to identify past scholarship recipients. We wanted to ensure you still had a way to know this information, so in place of the formal scholarship name under the education tab, former recipients will now have a general “UGA Scholarship Recipient” tag under the Involvements section of the education tab. You will then be able to access further details about which scholarship they received by using FAME or Scholarship Universe. Every unit has a Scholarship Universe/FAME liaison that can help you find this info.

Questions about these changes? Please email Jordan Dotson and Graff Wilson.
