2022 Graduate Upload, Tips & Tricks Archive and more!

This month, we've celebrated the 2022 graduating class on all their achievements, topped off with a fantastic spring commencement ceremony! We know you're anxious to stay engaged with UGA's newest breed of alumni and build strong relationships for the future. Here's what you should know to make that process successful: 

May 2022 graduation information will be requested at the beginning of June. It will be available for data requests and communications mid-month.

Tips & Tricks Archive

No more digging through your email to find previous editions of Tips & Tricks. You can now access information from any Tips & Tricks newsletter dating back to 2014 on the GAIL Resources site! Check it out here or visit the Resources tab on the homepage.

Residence Hall Tracker

Interested in tracking alumni to their respective dorms? Residence Halls are now tagged in GAIL as an Educational Involvement Type. More than 50,000 alumni have been coded to one of the 27 units. No actual dates are provided but the data goes back to at least 4 to 5 years.  

AskIT Update

You should now be requesting all Event Registration Pages through our new ticketing system, TeamDyamix. Learn more about that process here. Also, be on the lookout for the next stage of this transition which includes Query/Selection/Reporting requests. 

End Dates for Solicit Codes

A constituent may opt of UGA communications at any time. We manage those opt outs through solicit codes. But, we've all heard the saying 'nothing lasts forever.' That holds true for most solicit codes. Read more on when solicit codes should end. 

Event Contact vs. Event Coordinator

Confused on what's the difference? The event contact is connected to your event location. You may or may not have one assigned for your event. The event coordinator is the overseer of the event. Multiple people can be assigned to this role and they're able to create tasks and reminders for the event. Check out this guide if you're stuck on which role to assign. 

Using SendFiles

There may be times you have to share sensitive GAIL data. It is your responsibility to keep the data from falling into the wrong hands. One way to protect the personal information of constituents is to always send data through SendFiles. Not sure how to use the sharing service? This article walks you step-by-step.

We're always doing our best to bring you new and fun things as you navigate GAIL. That's why we're proud to introduce GAIL Greats! Think of it as "VIP" - only better! GAIL Greats are skilled users who go above and beyond to advance the database. They're also nominated by their very own peers! So if you know someone deserving of the title, tell us what makes them GAIL Great. You may see them highlighted in the next edition of Tips & Tricks.

Have you recently transferred to a new department or earned a promotion? Make sure your GAIL access remains active. It is not assumed that you will still need GAIL for your new job. Therefore, we will need a new access form on file.

Wednesday, August 17, 2022. This will be a Zoom meeting. Get ahead of the game by sending content you want to discuss to Cindy Bond. As always, if you have anything that you would like your s/c/u representative to share at the meeting, please reach out to them ahead of time.
