Downtime, Giving Day, Stacked Names & More
Please be reminded of the network and system maintenance that EITS has planned for March 5 through March 6, 2022. This maintenance will mean a complete outage of access to services including all UGA campus internet access (including GAIL, FAME, giving sites, registration sites, etc.), telephone services and all campus Information Systems.
The outage is scheduled to being at 6:00 am on March 5 and last through 12:00 noon on March 6. You will want to plan all of your GAIL related communications accordingly to avoid this downtime period. Be mindful of this downtime as it impacts event registration pages and online giving pages as well.

The Office of Annual Giving is requesting an EMAIL BLACKOUT for alumni and donors from March 10 – 31 in preparation for our first-ever university-wide Giving Day on March 31. Constituents could receive as many as 5 emails on Giving Day, and this blackout period is a best practice recommended by other institutions who have been successful with giving days.
Giving Day will support all areas of campus, and we’re asking colleagues to help us make it successful. Thank you in advance for all that you’re doing to support Giving Day!

If you have been wishing for the option to print individual names in a stacking order on your printed mailings (as opposed to one combined Addressee), well now you do! Read all about it!
In an effort to make sure we Activate our marketing efforts before donations start coming in, we are making slight changes to the order in which we take with processing efforts. Keeping in mind the size of your audience (if 50,000 or more, alert askit@uga.edu). Please read this article for specific information on steps for email (and postal) marketing efforts.
Before hitting send on an email with an excel spreadsheet attached containing sensitive data, be sure you follow appropriate guidelines for keeping data safe & secure.
You must use UGA's approved secure email tool called SendFiles and it must be sent directly to a Client Services team member as the ASKIT email account will not accept SendFiles.
Once you have sent your file via SendFiles, then you must submit a ticket to ASKIT with details of the file name, who you sent it to, and purpose of mailing plus any specific data you need for you export from the appropriate communication module.
Sensitive data can be defined as name + address, name + email, name + phone number, name + giving info, name + education info, etc. Remember that directory information is considered sensitive as defined in our UGAF policies and procedures which is another umbrella that we fall under. In Person GAIL classes have returned!
You can now find in-person GAIL training options on the GAIL Resources class registration page. Virtual/MS Teams/Zoom classes will continue being offered, as well. The GAIL Steering Committee is tentatively scheduled to meet again Wednesday, April 27, 2022.
