How Do I Get Access to GAIL?

Steps for New GAIL Users

If you are new to GAIL and have never participated in a GAIL training class. You will need to fill-out a GAIL Access Form. Once you have completed the form, you can send it via email to askit@uga.edu.
Please note: If you’re a student worker or looking to take the online class, you will be asked to attach your completed form when you register for class (step 3).

Because GAIL contains sensitive data, we have taken extra steps to make sure all of the information is kept safe. You will need to log into the 02 Restricted group of our Virtual Private Network (VPN) each time you use GAIL. Department Heads, DNLs, HR liaisons and business managers can request authorization for new employees by submitting an online request to EITS. After submitting the request, they will receive an automatic email confirming that the request has been received. This email does not mean your access has been granted. Another email will be sent in the next few business days that will confirm you have been granted access to the Restricted VPN.

Every new GAIL user must participate in a 101 training course. These courses are designed to familiarize you with the navigation of GAIL, as well as the basic functions of GAIL. You will need to register for one of the classes below to attend training


1. If you are a full-time faculty/staff member who needs the ability to view and update information in GAIL, you will need to register for an upcoming GAIL 101 All Users training. You can do this through our classes page by selecting the 101 class on the date that works for you.


2. If you are a student worker, grad assistant, or intern who needs the ability to view and update information in GAIL, you will participate in our GAIL 101 Student Worker training. This training class is scheduled on an as-needed basis to accommodate our students’ class schedules. To sign-up for a student worker training, please go to the student worker course page. You’ll be asked to provide your UGA work schedule as well as your completed GAIL access form. A member of the Client Services team will respond to you with a list of possible training times.


3. If you are a full-time or part-time employee and only need to view information in GAIL, you can participate in our GAIL 101 Online training. This training consists of watching a series of videos and completing an online quiz. Please note: This training will not give you the ability to change or add new information to GAIL. If you need updating capabilities, you will need to take either GAIL 101 All Users or GAIL 101 Student Worker training. To sign-up for online training, please go to the online course registration page and select the GAIL 101 Online class. Once you register, a member of the Client Services team will respond to you with further instructions on how to access the online module.

Archpass (Duo Mobile) is an app you will download and install your personal mobile phone. This app allows you to unlock and access our VPN (Virtual Private Network). For instructions on how to install this app, please click here.

Once you attend your scheduled GAIL 101 training, you will be eligible to participate in our advanced GAIL courses.
